OUR STEP-BY-STEP PLAN
1) Discovery & Definition of the Perimeter
Meeting with stakeholders (IT, facilities, security) to confirm objectives, locations, access rules, deadlines and compliance requirements. Identification of dependencies (carriers, docks, after-hours work, escorts/badges).
Deliverables: scope summary, site assumptions, risk register.
2) Asset Audit & Serialized Inventory
A detailed list of included equipment (servers, blades, switches, storage, PDUs/UPS, network equipment, etc.) with brand/model, serial number/asset tag, and intended use (redeployment, resale, recycling). Barcode tracking begins here and continues throughout the chain of custody.
3) Project Plan & Method of Execution (MOP)
Detailed schedule, access control plan, labelling scheme, floor protection plan, communication tree and fallback criteria to minimize impacts and disruptions.
4) Security Chain Controls
Security continues from the first handling: seals, GPS tracking if necessary, signatures at each transfer and logs ready for audit.
5) Uninstallation & De-Racking
Labelling and disconnection, removal of rails and cable management, removal of structured cables to the demarcation point according to the perimeter, and consolidation of accessories. Safe handling to minimize any impact on adjacent production systems.
6) Secure Packaging & Logistics
Equipment protection (antistatic, foam, crates/pallets), exit scanning and dispatch of sealed loads on planned routes with documented security. Insurance and certificates available on request.
7) Responsible Recovery & Recycling
Resalable assets are tested and graded for resale or buyback to offset costs. Non-recoverable equipment undergoes certified end-of-life processing. Reports include serial numbers, weights, and material categories.
8) Closing & Reports
A complete file is provided: inventory reconciliations, chain of security logs, recycling and recovery reports, photographic documentation, and a signed acceptance form. Many clients also request before/after photos and a letter for the property owner.
